Privacy policy

1. Who we are

Sterling JM Cleaners Ltd ("we", "us") decides how the personal information described here is used, which makes us its controller under UK data protection law. We are registered in England and Wales, company number 17531518.

2. What we collect

When you ask for a quote: your name, email address, phone number, how you'd like us to contact you, the property's postcode, the service you need, details about the property (such as its type and size), your preferred date and whether it's flexible, and any notes you add.

When you use our contact form: your name, your email address or phone number, and your message.

When you tick the consent box on a form, we record that you agreed, when, and which version of this policy applied.

To protect our forms from spam, we keep a scrambled (hashed) version of the internet address a request came from, for one hour. It can't be turned back into your address.

If you contact us by WhatsApp, phone or email, we receive your number or email address and what you send us. When we clean for you, we also keep booking and payment records, such as dates, prices and payments received.

3. How we use it

To prepare and send your quote, arrange and carry out cleans, contact you about your bookings, take payment, reply to your questions, keep our accounts and protect our forms from spam. We do not sell your information, and we do not use it for marketing.

4. Our legal basis

Preparing your quote and carrying out cleans you book: you have asked us to, and it is needed for our contract with you.

Keeping accounting records: the law requires us to.

Protecting our forms from spam and keeping a record of enquiries: our legitimate interests, which do not override your rights.

Storing optional offline features on your device: only with your consent, which you can withdraw at any time (see our cookie policy).

5. Do you have to give it?

We need your contact details and the details of the job to give you a quote. Without them we can't quote for or book a clean.

6. Who we share it with

We use these providers, which handle information on our behalf under data processing agreements:

Vercel hosts this website. Its main processing takes place in the United States.

MongoDB Atlas stores quote requests and contact messages in our database, which runs on Amazon Web Services in South Africa.

Resend sends our emails, such as your quote confirmation. It stores email data in the United States for 30 days.

WhatsApp, if you message us there. WhatsApp's own privacy policy also applies to those messages.

Where a provider handles your information outside the UK, the transfer is protected by safeguards recognised under UK law: the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.

We will also share information if the law requires us to.

7. How long we keep it

Quote requests that don't become bookings, and contact form messages, are deleted automatically 12 months after they are sent.

The spam-check data is deleted after one hour, and copies of emails held by Resend after 30 days.

If you book with us, your booking and payment records are kept for 6 years from the end of the company financial year they relate to, as the law requires for company accounting records.

8. Your rights

You can ask us for a copy of your information, and ask us to correct it, delete it, restrict how we use it, or send it to you or another organisation in a reusable format. You can also object to how we use it, and withdraw any consent you've given. Email info@sterlingjmcleaners.co.uk. It's free, and we will respond within one month.

We don't make decisions about you by automated means.

9. Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
